Privacy Policy

1. Introduction, scope and who is responsible for your data

This Privacy Policy explains how we collect, use, share and protect the personal information of people who visit our career sites, create a candidate profile, or apply for a job with us. It applies to every career site, job board page and application form that links to this policy.

The organization you are applying to ("we", "us" or "the Employer") decides why and how your information is used, and is responsible for it. This is the organization named on the career site or job posting you are using, including its affiliated companies and brands, as identified on the career site or in the job posting.

Our recruiting technology provider processes your information on our behalf and under our instructions. It does not use your information for its own purposes.

By submitting an application or creating a profile, you confirm you have read this policy. Where the law requires your consent for any use described here, we will ask for it separately.

2. Information we collect

We collect the information you give us, information created while you use our sites, and, in some cases, information from other sources.

Information you provide: name, contact details, work and education history, skills, résumé or CV, cover letter, references, work authorization, answers to application questions, job preferences, and anything else you choose to submit.
Information from other sources: referrals from employees, recruiters or agencies, professional networking profiles you choose to link, and, where the law allows and you are told in advance, background or reference check results.
Technical information: IP address, browser and device type, pages viewed, referring site, and date and time of visits, collected through cookies and similar technologies (see Section 7).
Optional diversity and equal opportunity information: where we ask for this, providing it is voluntary, it is kept separate from your application, and it is not used to evaluate you.

Please do not include sensitive information in your application, such as government identification numbers, health information, or details about your race, religion, politics or sexual orientation, unless we specifically ask for it and the law permits us to do so.

3. How we use your information and legal bases

We use your information only for recruiting and closely related purposes. Where the law requires a legal basis (for example in the European Economic Area and the United Kingdom), the basis is shown alongside each purpose.

Reviewing your application, assessing your skills and experience, and communicating with you about your candidacy. Legal basis: steps taken at your request before entering into a contract; our legitimate interest in hiring suitable people.
Creating and maintaining your candidate profile, and letting you apply for other roles. Legal basis: your consent, or our legitimate interest, depending on local law.
Contacting you about future opportunities that may suit you. Legal basis: your consent where required; otherwise our legitimate interest.
Verifying references, right to work and, where permitted, background checks. Legal basis: legal obligation; our legitimate interest; your consent where required.
Running equal opportunity monitoring and meeting legal reporting duties. Legal basis: legal obligation; your explicit consent for any special-category data.
Securing our sites, preventing fraud and improving how our career sites work. Legal basis: our legitimate interest.
Establishing, exercising or defending legal claims. Legal basis: our legitimate interest; legal obligation.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

4. Sharing, service providers and international transfers

We share your information only where there is a need to, and only with:

Our own staff: recruiters, hiring managers, interviewers and HR, limited to those involved in the hiring decision.
Affiliated companies: other entities in our corporate group, where a role or the recruiting process involves them.
Service providers: companies that help us run recruiting, such as applicant tracking and career site hosting, assessment, scheduling, background screening, and IT support providers. They may act only on our instructions and must protect your information.
Legal and safety recipients: courts, regulators, law enforcement or advisers, where we are required to, or need to protect rights, safety or property.
Business transfers: a buyer or successor, if we are involved in a merger, acquisition or sale of assets.

Your information may be stored and processed in countries other than your own, including countries whose data protection laws differ from yours. Where we transfer information out of the European Economic Area, the United Kingdom or Switzerland, we use a recognized safeguard, such as standard contractual clauses or an adequacy decision, as required by law.

5. Retention and security

Retention. We keep application information for as long as needed to consider you for the role you applied for and to meet legal, tax and audit requirements. Unless local law or your consent says otherwise, we keep unsuccessful applications only for as long as is reasonably necessary after the role is filled or your last activity, in line with the retention period that applies where you live, and then delete or anonymize them. If you agree to be considered for future roles, we keep your profile until you withdraw that consent or ask us to delete it. If you are hired, relevant information becomes part of your employment record, which is covered by a separate notice.

Security. We use technical and organizational measures designed to protect your information against loss, misuse and unauthorized access, including access controls, encryption in transit, and vendor security reviews. No online system can be guaranteed completely secure. If a breach affecting your information occurs, we will notify you and the relevant authorities as the law requires.

6. Your rights and choices

Depending on where you live, you may have some or all of the following rights over your personal information:

Access the information we hold about you and receive a copy.
Correct information that is inaccurate or incomplete. You can also update your candidate profile directly at any time.
Delete your information, subject to legal exceptions.
Restrict or object to certain uses, including uses based on our legitimate interest.
Port your information to you or another provider, in a common format, where applicable.
Withdraw consent at any time, without affecting the lawfulness of what we did before you withdrew it.
Know and limit how sensitive information is used and shared, and not be discriminated against for using your privacy rights, where residents of certain US states have these rights.
Complain to your local data protection authority.

To use any of these rights, contact us using the details in Section 8. We may need to verify your identity first, and we will respond within the time the law requires (generally 30 to 45 days). You may also authorize someone to make a request on your behalf, where the law allows. We do not charge a fee unless a request is clearly excessive.

You can opt out of marketing or talent community emails at any time using the unsubscribe link in the message or by contacting us. Choosing not to provide some information may mean we cannot fully consider your application.

7. Cookies, automated tools, children and changes to this policy

Cookies. Our career sites use cookies and similar technologies that are necessary for the site to work, such as keeping you signed in and saving your application progress. Where we use optional cookies for analytics or to understand how visitors use the site, we will ask for your consent where the law requires it. You can change your choice at any time through the cookie settings on the site or in your browser. We do not use cookies from this site to show you advertising on other websites.

Automated tools and AI. We may use software, including automated matching, ranking or AI-assisted tools, to help sort applications or suggest candidates. People make the final hiring decisions. If a decision about your application is made solely by automated means and has a legal or similarly significant effect on you, you may ask for human review, to share your view, and to contest the decision. Contact us to do so.

Children. Our career sites are intended for people who are of legal working age in their location. We do not knowingly collect information from anyone under 16 through these sites. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy. We may update this policy from time to time. The version published on the career site is always the current version. If we make material changes, we will post a notice on the career site or contact you where the law requires.

8. Contact us

For questions about this policy or to exercise your rights, contact the organization you applied to using the privacy or contact details published on the career site, in the job posting, or in any message we have sent you. If you cannot find them, you can reply to any recruiting message you received or use the contact option on the career site. Where an organization has appointed a data protection officer or a local representative, their details are published in the same places.
